Property Management Assistant Join our dynamic team and support day-to-day operations in a positive office environment.
Job Summary
We are seeking a detail-oriented and organized Property Management Assistant to support both administrative functions and property management operations. This role is ideal for someone who can multitask, is comfortable interacting with owner/residents, and is familiar with general office and Condominium and Cooperative property management practices. The successful candidate will contribute to a smooth-running office while helping maintain high owner/tenant satisfaction and efficient building operations.
Key Responsibilities
Administrative & Clerical Support
- Answer phones, manage emails, and maintain a professional communication tone with owners/residents, vendors.
- Perform filing and data entry tasks with accuracy.
- Use Microsoft Word, Excel, and general computer systems for record keeping and reporting. Property Management Support
- Assist the Property Manager with day-to-day operations across multiple properties.
- Help process work orders and track maintenance issues using property management systems.
- Maintain organized files, contracts, correspondences, and compliance-related documentation.
- Support enforcement of community rules and assist in conflict resolution.
- Communicate effectively with owners/residents and vendors, ensuring timely responses and issue resolution.
- Understand condominium/cooperative bylaws and member responsibilities and help ensure community standards are upheld.
- Assist with coordinating vendors and service providers, including scheduling and performance tracking. Bookkeeping Support
- Provide basic bookkeeping assistance, including tracking expenses, assisting with budget adherence, and invoice organization. Leasing & Software Tools
- Use property management software such as Buildium to manage owner/resident and tenant data, housing agreements, and association and rent payments.

Qualifications
- Familiarity with general property management practices and terminology; HOA experience is a plus.
- Strong administrative and organizational skills with a sharp attention to detail.
- Excellent communication skills, including professional phone and email etiquette.
- Ability to manage multiple priorities, remain calm under pressure, and work independently.
- General understanding of bookkeeping principles.
- Proficiency in Microsoft Office (Word, Excel) and comfort with learning new software platforms.
