Duties

• Respond promptly and professionally to customer inquiries via multi-line phone systems, email, and live chat platforms.
• Manage front desk responsibilities, including greeting visitors, handling incoming calls, and directing inquiries appropriately.
• Utilize office management tools and productivity software such as Microsoft Office and Google Workspace to document interactions, update records, and maintain organized files.
• Perform data entry tasks accurately, including updating customer information and processing transactions using software like QuickBooks.
• Provide administrative support through filing, proofreading documents, calendar management, and scheduling appointments.
• Assist with bookkeeping activities such as invoicing, billing, and basic financial record keeping.
• Maintain excellent phone etiquette while addressing customer concerns or questions with clarity and professionalism.
• Support office operations by managing clerical tasks efficiently and ensuring smooth workflow.
• Handle confidential information with discretion while supporting team members with administrative or personal assistant duties.
• Contribute to a positive customer experience by demonstrating organizational skills and technical proficiency in all interactions. Experience
• Previous experience in office management, administrative support, or customer service roles is highly desirable.
• Familiarity with multi-line phone systems, data entry processes, and clerical procedures.
• Proven ability to handle front desk responsibilities in a fast-paced environment.
• Experience using productivity software such as Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace (Docs, Sheets).
• Knowledge of QuickBooks or similar bookkeeping software is preferred.
• Bilingual abilities are a plus to effectively serve diverse client populations.
• Demonstrated organizational skills with the ability to prioritize tasks efficiently.
• Strong computer literacy and technical proficiency in office equipment and software applications.
• Excellent time management skills with the capacity to multitask effectively across various responsibilities.
