The Plan: What Your Days Look Like You'll report directly to the Sales Manager and work together with our sales, production, and shipping teams to learn, build relationships, and improve customer satisfaction. Here's how you'll make an impact from day one:
- Respond to customer service inquiries by phone and email to ensure distributors and end users receive timely support.
- Coordinate pickups and book freight shipments using Freightview and other carrier portals to keep deliveries on time.
- File freight damage and shortage claims with carriers to recover financial losses.
- Support the sales team by resolving post-sale issues, including damages, shortages, and refrigeration equipment concerns, allowing them to focus on quoting and closing deals.
- Pack, label, and process replacement parts orders for shipment immediately, so customers receive what they need in a timely manner.
- Keep HubSpot (our CRM) current with accurate customer records and pipeline activity so nothing falls through the cracks.
- Identify gaps in our sales and customer service processes to improve performance.
- Use AI-powered tools to streamline daily tasks and work smarter. To be seriously considered, you'll need: Experience
- 13 years in customer service, sales support, logistics, or administrative work.
- Background in manufacturing, HVAC/R, restaurant equipment, or distribution is a strong plus.
- Experience with HubSpot, Freightview, Claude AI, ChatGPT, or similar tools is a major plus. Skills
- Clear, professional communicator by phone and email. You leave customers more confident, not more confused.
- Organized enough to juggle multiple demands and deadlines without dropping the ball.
- Comfortable with computers: Excel, Outlook, and proprietary systems.
- Eager to learn and use AI tools to work faster and stay on top of tasks.
- Bilingual English/Spanish is a plus but not required. Characteristics
