Sales Associate / Administrative Assistant

Job Description

Position Summary

The Sales Associate / Administrative Assistant serves as a key support role within the charter bus company by assisting customers, coordinating charter bookings, supporting office operations, and providing exceptional customer service. This position requires strong communication skills, attention to detail, and the ability to manage multiple tasks in a fast-paced transportation environment.

Key Responsibilities

Sales & Customer Service

• Answer incoming calls, emails, and customer inquiries regarding charter services
• Provide quotes and assist customers with booking charter trips
• Follow up with prospective and existing clients to maintain relationships and increase sales opportunities
• Assist with preparing contracts, trip confirmations, and customer invoices
• Maintain accurate customer and trip records in company systems
• Promote company services professionally and courteously Administrative Support
• Provide daily administrative support to management and operations staff
• Prepare reports, spreadsheets, correspondence, and filing
• Assist with scheduling meetings and maintaining office calendars
• Process payments and maintain organized financial records
• Monitor office supplies and place orders as needed
• Maintain confidential company and customer information Operations Support
• Coordinate with dispatch and drivers to ensure trip details are accurate
• Assist with route, itinerary, and travel information preparation
• Help resolve customer concerns or scheduling issues promptly
• Support compliance documentation and transportation records as needed

Qualifications

• High school diploma or equivalent required
• Previous experience in customer service, sales, or administrative support preferred
• Experience in transportation, tourism, or charter services is a plus
• Strong verbal and written communication skills
• Proficiency in Microsoft Office (Word, Excel, Outlook)
• Ability to multitask and work efficiently in a fast-paced environment
• Strong organizational skills and attention to detail
