Full description of the position

The Position: We are seeking a motivated, customer-focused Event Planning & Sales Associate to join our team in Sunnyvale. This role is ideal for someone who has experience in event planning, event coordination, hospitality, catering, rentals, or customer sales, and enjoys helping clients bring events to life. In this role, you will work directly with customers to help them plan and book rental items for corporate events, school functions, private parties, and other special events. You will assist with quotes, order updates, product recommendations, and customer communication throughout the sales process. This is a great opportunity for someone who enjoys both sales and event planning, is highly organized, and thrives in a fast-paced, team-oriented environment.

Responsibilities

• Assist customers by phone, email, and in person with event rental inquiries
• Help clients choose the right rental items based on event type, guest count, budget, and style
• Prepare, revise, confirm, and follow up on quotes and orders
• Answer customer questions about products, pricing, availability, rental rates, fees, and services
• Guide customers through the planning and ordering process from initial inquiry to final confirmation
• Recommend additional rental items and services to improve the customer experience and increase order value
• Maintain strong customer relationships through responsive, professional communication
• Coordinate with office, scheduling, and warehouse teams to support accurate and successful event execution
• Assist with customer issues, account questions, invoicing questions, and order updates
• Track open quotes, reservations, and follow-up opportunities
• Maintain accurate customer and order information in company systems
• Perform other duties as needed to support the team and business

Qualifications

• Experience in event planning, event coordination, event design, hospitality, catering, party rentals, or customer-facing sales
• Strong customer service and communication skills
• Comfortable speaking with customers and helping them make decisions
• Strong organizational skills and attention to detail
• Ability to manage multiple tasks and priorities in a fast-paced environment
• Ability to work both independently and as part of a team
• Basic math skills and comfort discussing pricing and order details
• Proficiency in Microsoft Office, including Excel, Word, and Outlook
• Ability to learn new systems and software quickly
• Positive attitude, professionalism, and willingness to learn

Preferred Qualifications

• 25+ years of experience in client-facing sales, customer service, event planning, hospitality, or rentals
• Experience working with clients for corporate events, school events, or private parties
• Experience with quoting, reservations, or event rental software
