Full description of the position

Position Summary

The Event Sales Manager supports the hotel's catering sales, group sales, events, and revenue efforts by assisting with group bookings, meeting room inquiries, catering and banquet event coordination, client communications, proposals, contracts, room blocks, and internal communication with hotel departments. This position serves as an important point of contact for clients before, during, and after events and group stays. The role requires strong organization, professional communication, attention to detail, and the ability to help convert inquiries into confirmed business while supporting a smooth guest and client experience.

Key Responsibilities
  • Respond promptly and professionally to sales, group, meeting, banquet, and event inquiries by phone, email, brand systems, and online channels.
  • Prepare and distribute proposals, contracts, banquet event orders (BEOs), group resumes, rooming lists, menus, floor plans, and other sales/event documents.
  • Create group room blocks, reservations, cutoff dates, billing instructions, payment arrangements, deposits, and final guarantees.
  • Assist with catering menus, banquet pricing, food and beverage minimums, event deposits, service charges, final counts, and cateringrelated client followup.
  • Coordinate meeting room and event logistics, including room setup, audiovisual needs, food and beverage selections, timelines, signage, special requests, and vendor access when applicable.
  • Serve as a liaison between clients and hotel departments, including Front Desk, Housekeeping, Food & Beverage, Banquets, Engineering, Accounting, and Revenue Management.
  • Maintain accurate client records, account information, traces, activities, and booking details in hotel systems such as Delphi, Opera, or other property systems.
  • Generate, qualify, and track sales leads through research, prospecting, networking, repeat business, referrals, and followup outreach.
  • Support the Director of Sales/General Manager with sales calls, site visits, property tours, client meetings, community outreach, and local account development.
  • Monitor upcoming arrivals, groups, meetings, and events to ensure all details are accurate, communicated, and ready for execution.
  • Assist with weekly and monthly sales reports, pace reports, revenue tracking, lost business reports, productivity summaries, and market/competitive research.
  • Follow up with clients after events and group stays to ensure satisfaction, resolve concerns, and encourage repeat business.
  • Assist with invoicing, billing followup, banquet checks, purchase orders, and outstanding balances in coordination with accounting or management.
  • Support marketing efforts, promotions, social media content, hotel packages, local partnerships, and community visibility as directed.
  • Maintain organized digital and physical records for contracts, event files, correspondence, certificates of insurance, and billing documentation.
  • Participate in sales meetings, revenue meetings, preconvention/preevent meetings, training sessions, and property operations meetings as needed.
  • Ensure compliance with hotel policies, brand standards, service expectations, safety procedures, and confidentiality requirements.
  • Perform additional duties as assigned by management. Catering & Banquet Event Coordination Focus
  • Assist clients with menu selections, event timelines, room layout, rental needs, and food and beverage minimums.
  • Create and update BEOs and communicate changes to Food & Beverage, Banquets, Kitchen, Front Desk, Housekeeping, and Engineering teams.
  • Confirm final guest counts, setup requirements, billing details, and event changes before the event date.
  • Be present for event turnover or client checkin when needed to ensure expectations are clearly communicated.
  • Help ensure meeting and event spaces are properly set, clean, stocked, and ready before client arrival. Catering Sales, Group Sales & Reservations Support
  • Assist with corporate, social, government, sports, wedding, association, tour, and local negotiated group opportunities.
  • Monitor group pickup, rooming lists, shoulder dates, attrition/cutoff dates, and special billing instructions.
  • Coordinate with the Front Desk and Reservations team to ensure group reservations are accurate and guest needs are met.
  • Assist with welcome letters, group itineraries, amenity requests, VIP notes, and internal group communication.
Required Qualifications
  • High school diploma or equivalent required; associate or bachelor's degree in hospitality, Business, Marketing, or a related field preferred.
  • Previous hotel, hospitality, sales, catering, event, front desk, reservations, or customer service experience preferred.
  • Strong written and verbal communication skills with a professional and servicefocused approach.
  • Ability to manage multiple tasks, deadlines, clients, and event details at the same time.
  • Proficiency with Microsoft Office, especially Outlook, Word, and Excel.
  • Ability to learn and use hotel systems, CRM platforms, brand systems, and property management systems.
  • Professional appearance and ability to represent the hotel during client interactions, site visits, and community events. Preferred Skills & Competencies
  • Hotel sales, catering, banquet, or event coordination experience.
  • Knowledge of group sales, room blocks, BEOs, contracts, banquet menus, and hotel operations.
  • Strong organization, followthrough, problemsolving, and attention to detail.
  • Ability to build relationships with clients, local businesses, vendors, and internal hotel teams.
  • Comfortable making outbound calls, following up on leads, and assisting with revenuegenerating activities.

  • Ability to sit, stand, and walk for extended periods throughout the hotel.
  • Ability to occasionally lift, carry, push, or pull up to 25 pounds.
